We are excited to welcome Triumphant Junior School, located in Gayaza, Namavundu Bulamu, to SchoolGaze, a school management system designed to help schools in Uganda simplify their day-to-day operations. 🎉
For us, onboarding a new school is more than simply creating an account and handing over login credentials. It is about understanding how the school operates, training the staff who will use the system, helping them organize their information, and making sure they are comfortable with the transition to digital school management.
Our onboarding journey with Triumphant Junior School was a perfect example of this.
It all started when Mr. David, the school's director, reached out to us to learn more about SchoolGaze.
We scheduled an online demonstration on Monday, where we walked him through the system in detail. We demonstrated how SchoolGaze can help schools manage their information and day-to-day activities from one centralized platform.
For many schools looking for a school management system in Uganda, one of the biggest questions is simple: Will this system actually make our work easier?
That was exactly what we wanted to demonstrate.
Mr. David was impressed by what he saw.
By the end of the demonstration, he had already made up his mind.
He decided to onboard the school on Thursday.
For us, that was exciting. But we knew that getting the school started would require more than simply giving them access to the software.
One of the things that stood out during the onboarding was that Triumphant Junior School had not previously been using a school management system.
Most of their records were being managed using pen and paper.
This is a situation many schools can relate to. Traditional paper-based record keeping can work, but as the amount of school information grows, managing, organizing and retrieving records can become increasingly difficult.
And we experienced that challenge firsthand.
Some of the school's information was stored in different places, including box files. Unfortunately, some of the staff who had access to particular files were not at school that day.
As a result, retrieving some of the information we needed wasn't as straightforward as we had hoped.
In fact, we had to schedule another day to return to the school so that we could complete the process properly.
Rather than rushing through the onboarding, we chose to take our time.
On Thursday, we went to Triumphant Junior School and spent the entire day with Mr. David and his staff.
We trained them on how to use SchoolGaze, helped set up the system, and assisted them with entering their school data.
We also gave the staff enough time to ask questions, try different parts of the system themselves, and understand how SchoolGaze fits into their daily activities.
This was important to us.
We didn't want to simply say:
“Here is your system. Good luck.”
We wanted the staff to actually understand what they were using.
Moving from paper-based school administration to a digital school management system is a significant change. Even when software is designed to be easy to use, people need time to become familiar with it.
So we stayed with them, answered their questions, guided them through the different parts of the system, and helped them get started.
At SchoolGaze, we believe that purchasing school management software should not be the end of the process.
It should be the beginning.
A school may have excellent software, but if the people using it don't understand how it works, they won't get the value they expected from it.
That is why we take school onboarding seriously.
For Triumphant Junior School, our goal wasn't simply to put them on SchoolGaze. Our goal was to help them begin their transition from scattered paper records to a more organized digital system.
And sometimes, that means spending an entire day at the school.
Sometimes, it means going through records stored in different places.
Sometimes, it means coming back another day because some of the information isn't immediately available.
That's part of building a successful relationship with our schools.
The experience at Triumphant Junior School reminded us why school management software is becoming increasingly important for schools.
Schools generate and manage a lot of information every day - student records, academic information, fees, staff information and other administrative records.
When this information is kept in different books, files and locations, retrieving it can take time.
A good school management system in Uganda can help bring this information together and make it easier for school administrators and staff to access and manage it.
